We are seeking a proactive and highly organised Senior Administrative Officer to support our Practice Manager in the day-to-day operational and administrative management of our busy medical practice. This is a hands-on role where you'll coordinate daily practice operations, support reception and administrative staff, maintain efficient systems and processes, and help ensure the practice continues to deliver exceptional patient care.

The successful candidate will have previous experience in a medical practice or healthcare environment, excellent organisational and communication skills, and the ability to confidently manage multiple priorities in a fast-paced setting. You'll be proficient in practice management software and the Microsoft Office Suite, with a strong understanding of patient confidentiality, medical terminology, and clinical workflows. Experience supporting compliance, accreditation activities, staff coordination, and process improvement will be highly regarded.

Working closely with the Practice Manager, GPs, nurses, reception and administration teams, you'll play a key role in maintaining smooth daily operations, supporting staff workflow, overseeing administrative processes, and contributing to a positive, collaborative workplace culture. This part-time position is based in a professional medical practice environment, offering 0.9 FTE (72 hours per fortnight) with occasional flexibility to meet operational requirements.

No two days are the same! As Senior Administrative Officer you will:

  • Coordinate daily practice operations, administrative workflows, appointment scheduling, and patient flow.
  • Support RACGP compliance, accreditation, quality improvement, and practice documentation.
  • Coordinate and support GPs, nursing, reception, and administration teams, including rostering, onboarding, and team communication.
  • Oversee reception, medical records, correspondence, reporting, medico-legal invoicing, and practice supplies.
  • Manage Medicare and private billing, accounts, debtors, banking, petty cash, and financial administration.
  • Monitor staff compliance with practice procedures and escalate operational issues to the Practice Manager when required.
  • Support patient communication, care coordination, waiting room presentation, and patient education resources.
  • Identify opportunities to improve systems, processes, and workflow while contributing to a positive team environment and high-quality patient care.

About You

You’ll thrive with us if you have:

Essential Requirements

  • Minimum 2–3 years’ experience in healthcare administration or coordination
  • Demonstrated experience in office coordination or team supervision
  • Strong organisational and time management skills
  • Proficiency in practice management software (Best Practice desirable)
  • Sound knowledge of medical terminology and healthcare processes
  • Excellent communication and interpersonal skills
  • Attention to detail and accuracy in administrative tasks

Desirable Requirements

  • Previous medical practice administration experience
  • Certificate or Diploma in Practice Management or Healthcare Administration
  • Understanding of Medicare billing and healthcare funding
  • Knowledge of RACGP standards and requirements
  • Experience with quality improvement processes
  • Basic financial administration skills
  • CPR certification
