About the Roll
In this varied and rewarding role, you’ll provide valued administrative support to the General Manager and the broader team, helping keep the home running smoothly each day. From reception and office coordination to rostering support and general administration, you’ll play a key part in creating an organised and supportive environment for everyone.
As the welcoming face and voice of the home, you’ll connect with employees, contractors, volunteers, visitors, residents and their families with warmth and professionalism — ensuring every interaction feels positive, respectful and caring.
No two days are the same! As an Administration Assistant, you will:
- Deliver a warm, professional reception service and manage all enquiries promptly.
- Provide efficient administrative support to the General Manager and team, including general office coordination.
- Oversee daily office operations, including supplies, mail, and key management, ensuring the facility runs smoothly.
- Support new resident admissions in collaboration with the Customer Relationship Consultant.
- Maintain accurate resident records, data, and chaperone arrangements.
- Process invoices, support resident financial transactions, and maintain and reconcile petty cash.
- Manage employee rostering, timesheet reviews, and sourcing of replacement staff to ensure the facility is appropriately staffed.
- Support onboarding, induction, and mandatory training for staff and volunteers, including maintaining records and coordinating uniforms.
About You
You’ll thrive with us if you have:
- Previous experience in administration or reception
- Confident communication skills with a genuine customer service focus
- Strong computer skills, including Microsoft Office
- Availability to work standard office hours: Monday to Friday, 9:00 am - 5:00 pm
- Highly organised with excellent attention to detail
- Ability to juggle tasks and stay calm in a busy environment
- A positive, professional and dependable approach
- Current NDIS Worker Screening Check and National Police Certificate (as required for the facility), or willingness to obtain prior to commencement
