We are looking for a warm, organised and professional Head Office Receptionist to create an exceptional first impression for visitors, staff and callers.
This role is perfect for someone who loves helping people, enjoys variety in their day and takes pride in keeping an office running smoothly.
As our Head Office Receptionist, you will be the first point of contact for all visitors, contractors and callers. You will ensure our reception area is welcoming and professional, support day-to-day office operations and provide administrative assistance to teams across the organisation.
You will report to the Finance Manager and work closely with departments across Head Office.
Front Desk & Visitor Management
Welcome visitors and contractors with warmth and professionalism
Answer, screen and direct incoming calls
Maintain a tidy, organised and presentable reception area
Manage visitor registers, contractor sign-ins and assist with inductions
Office Coordination
Handle all incoming and outgoing mail, deliveries and courier bookings
Maintain office supplies, stationery and staff amenities
Support general office housekeeping, including unpacking the dishwasher
Log and follow up office maintenance requests
Administration & Support
Manage the central inbox and respond or redirect enquiries
Provide administrative support to departments as required
Coordinate meeting room bookings, setup and preparation
Assist with travel and accommodation bookings
Support internal events, workshops, meetings and staff engagement activities
Manage petty cash and banking according to organisational procedures
Contribute to continuous improvement initiatives
You are friendly, organised and proactive. You enjoy being the go-to person in the office and take pride in helping others and keeping things running smoothly.
Essential:
Strong communication and interpersonal skills
Good organisational and time-management skills
Basic computer proficiency (Outlook, MS Office, calendars)
Current National Police Certificate (or ability to obtain)
Desirable:
Previous experience in a receptionist or administrative role
Excellent verbal and written communication skills
Strong customer service mindset and professional presentation
Highly organised, with the ability to prioritise effectively
Takes initiative, ownership and shows strong attention to detail
Understands confidentiality requirements
Positive attitude and a willingness to support colleagues
